SmileCraft Dental (“we”, “us”, “our”) is operated by Dr. Jiyang Han Dentist Inc. This policy explains what personal information we collect through our website at smilecraft.ca, why we collect it, and what choices you have.
This policy covers information collected through our website. Personal health information collected in the course of providing dental care is handled separately, in accordance with our professional obligations and the standards of the BC College of Oral Health Professionals.
Information we collect through this website
When you complete a form on our website, we collect only what we need to contact you:
- Your first name
- Your mobile number
- Your email address
- Your preferred method of contact
- Any message you choose to include about the treatment you are enquiring about
We do not ask for your insurance details, medical history, date of birth or home address through our website forms.
Why we collect it, and what we do with it
We use the information you submit for one purpose: to respond to your enquiry and arrange an appointment or consultation.
How consultation requests are handled. When you submit a consultation request, it is sent to our practice email and reviewed by a member of our team. We aim to contact you within one business day using the method you selected. If we cannot reach you, we may try one of the other methods you provided. Submitting a request does not create a patient relationship and does not commit you to treatment.
If you go on to become a patient, the information you gave us may be transferred into your patient record and will then be handled under the same rules as the rest of your dental record.
Phone, email and text messages
If you provide a mobile number and select call or text as your preferred contact method, you are consenting to us contacting you that way about your enquiry.
Standard email and SMS are not secure channels. We keep these messages brief and administrative — arranging appointments, confirming times — and we do not send detailed clinical information by text or unencrypted email. You can ask us to stop contacting you by any particular method at any time.
We do not use your contact details for marketing unless you have separately asked to hear from us, and any marketing message will include a way to unsubscribe.
Analytics and advertising cookies
Our website uses cookies and similar technologies.
Google Analytics helps us understand how visitors find and use our website — which pages are viewed, how long people stay, and which links are clicked. This information is aggregated and is not used to identify you personally. Google processes this data on our behalf and may store it outside Canada.
Meta Pixel. Where we run advertising on Facebook or Instagram, a Meta Pixel may record that you visited a page or completed a form, so that we can measure how our advertising performs. Meta processes this information under its own privacy policy.
You can refuse or delete cookies through your browser settings. Doing so does not prevent you from using the website or submitting a form.
Third-party service providers
Online booking (TrackerCloud). Our “Book Online” links take you to TrackerCloud, our third-party online appointment-booking service provider, at smilecraftdental.myformsathome.com. When you book through it, the information you enter there is collected by that provider and is governed by its own privacy practices as well as our agreement with it.
Website hosting. Our website is hosted by Bluehost. Form submissions pass through our website before reaching our practice email.
We do not sell, rent or trade your personal information, and we do not share it with anyone except where it is necessary to provide the service you asked for, or where the law requires it.
Protecting and retaining your information
We take reasonable steps to protect the information you give us, including access controls on our website and practice systems, and limiting access to staff who need it.
No method of transmission over the internet is completely secure, and we cannot guarantee absolute security of information sent to us online.
Retention. We retain personal information only as long as is reasonably necessary to fulfil the purposes for which it was collected and to satisfy applicable legal, regulatory, professional and business requirements. If you become a patient, your dental records are retained in accordance with the requirements of the BC College of Oral Health Professionals.
Access, correction and deletion
You may ask us to:
- Tell you what personal information we hold about you
- Correct information that is inaccurate or incomplete
- Delete an enquiry you submitted, where we are not required to keep it
- Stop contacting you, or contact you only in a particular way
- Withdraw your consent, subject to legal or professional record-keeping requirements
We will respond to requests within the timeframes set out in British Columbia’s Personal Information Protection Act. We may need to verify your identity before acting on a request.
Children
Our website is intended for adults. Where a parent or guardian submits an enquiry about a child, we rely on that adult’s consent.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last revised.
